Moderated Messages

Gain peace of mind with Message Review! Turn Message Review On for specific users for an extra layer of protection. Moderators can quickly approve, edit, or reject messages before they are sent to maintain standards and consistency. Collaborate with confidence!

The Basics

When a message is submitted for review, it follows this cycle:

  1. Notification: When a message is submitted for review, Moderator 1 is notified via email.
  2. Action: Moderator 1 has 24 hours to review and take action on the message (approve, reject, etc.).
  3. Escalation: If Moderator 1 doesn’t act within 24 hours, Moderator 2 is notified. If Moderator 2 doesn’t act within 24 hours, Moderator 3 is notified.
  4. Cycle Repeat: If Moderator 3 fails to act, the cycle restarts with Moderator 1 after 24 hours. It will only go through 2 cycles or 6 days.
  5. Urgent Messages: If a user marks a message as “Urgent,” the notification timeframe for each moderator reduces to 1 hour.

At any time, a Moderator can action a message by navigating to Main Menu ☰> Pending Jobs > Moderated.

Each facility can assign up to 3 Moderators to edit, approve and reject messages sent for review. The permissions follow the user hierarchy levels:

  • Organization Admins: Can enable Message Review for any other user and can assign any user to be a Moderator, including themselves.

  • Facility Admins: Can enable Message Review and assign Moderators for other Facility Admins (including themselves) and Users.

  • Users: Cannot enable Message Review or assign Moderators.

All messages sent for Message Review can be seen or actioned at any time by navigating to Main Menu ☰> Pending Jobs > Moderated.

There are 3 message statutes:

🟢 Approved: The message has been reviewed and approved.

🟠 Pending: The message is awaiting review.

🔴 Rejected: The message has been reviewed and rejected

 

Viewing Options:

  • By default, only Pending messages are displayed.
  • To view all messages (Approved, Pending, and Rejected), click the “Pending” dropdown in the left corner and select “All.”

Moderator Identification: The “Moderator” column shows who approved or rejected each message.

Approved messages will also appear in Sent Jobs.

STEP 1

Managing Moderation Permissions

  • Navigate to the Main Menu ☰> User Management > Privileges.
  • Approve Messages allows a user to approve/edit/reject messages.

Assign Message Review enables users to determine whether another user’s messages require review, but doesn’t provide review access.

Assign Moderators

Assign up to 3 Moderators per facility:

  • Navigate to the Main Menu ☰ >User Management > Users.
  • In the Message Review column, select Moderator 1, Moderator 2, Moderator 3.

This assignment must be done on the facility level and is not applicable at the organizational level.

To be a moderator, users must have a valid email address associated with their account. This is essential for receiving email notifications about messages awaiting review.

STEP 2

Moderate Users

  • Navigate to the Main Menu ☰> User Management > Users
  • In the Message Review column, select ON. All future messages created by this user will now require moderation
  • Simply choose OFF to turn off message review for a user.

 

Note: If a message has been scheduled but has not been reviewed by its scheduled date and time, it will not be sent until approved.  

Note: All users with permission to Approve Messages will receive a notification when a message requires review. We recommend limiting Approval privileges to one or two users.

Submitting A Message For Review

Users with Message Review ON do not need to take any action. They simply need to:

  • Open a template or create a new message
  • Filter the audience
  • When the message is complete, hit Submit
  • A pop-up will appear letting the user know the message will be submitted for review and who the Moderator is

NOTE: If the URGENT box in the confirmation pop-up is checked, the message review cycle will speed up from 24 hours to 1 hour, and all email notifications to Moderators will be marked as “Urgent”.

STEP 3

Approve, Edit or Reject A Message

Approvers will receive an email each time a message is submitted for review.

  • Navigate to Main Menu ☰ > Pending Jobs>Moderated
  • Click on the requested job in the Msg column
  • A pop-up with the message will appear
  • Review the message and Approve, Edit or Reject

Whether a message is approved, edited or rejected, the review requester will receive an email with the outcome.
