Understanding User Privileges in ACS Forms and Surveys
ACS Forms and Surveys includes a flexible permissions system that allows Administrators to control who can access, edit, publish, or manage different aspects of forms. These privileges help organizations maintain accuracy, security, and proper workflow oversight.
All privilege settings can be found in:
Main Menu → User Management → Privileges
From here, Admins can assign or modify permissions for individual users or user groups to tailor access to their operational needs. Changes take effect immediately.
Available Privileges and What They Do
Below is an overview of each privilege and how it impacts a user’s ability to work with forms:
- Lock and Unlock: Allows the user to lock a form to prevent further edits, or unlock it to resume modifications.
- Publish and Unpublish: Enables the user to publish a form so it becomes available for use, or unpublish it to remove access without deleting the form.
- Import, Create, and Edit: Grants the ability to import forms from the Template Library, create new forms from scratch, or edit existing ones.
- Create Category: Allows users to create new form categories to help organize content.
- Set Category: Enables users to assign a form to an existing category.
- View Submissions: Provides access to see responses submitted through a form. This is often limited to maintain data privacy and role-based access.
- Embed and Share URL: Allows users to share links or embed codes so forms can be accessed outside the platform.
- Export: Gives permission to export form submission data, in a .CSV or PDF.
- Delete Submissions: Allows users to permanently remove form submissions. This is typically restricted to protect record integrity.
- Manage Notifications: Enables users to set up, update, or remove email notifications associated with a form—useful for teams who need alerts on new submissions.
