Using the AI Assistant
The AI Assistant is an AI-powered helper in the bottom right-hand corner. You can use it to ask questions about your schedule in plain language, review coverage, identify conflicts, and approve suggested schedule changes. The assistant works with the site currently selected in the dropdown in the top-left corner. Before using the assistant, confirm that you are viewing the correct facility.
Ask a Question
You can interact with the assistant using suggested prompts or by typing your own question. The first time you open the assistant, suggested prompt chips appear to help you get started. Examples include:
- Who is available this week?
- Find scheduling conflicts
- Suggest coverage for tomorrow
You can also type your own question into the Ask about the schedule… box at the bottom of the panel, then press Enter or click the send arrow.
The assistant keeps your conversation history, so you can ask follow-up questions and continue from the same context.
Review Informational Answers
Some questions only require information. In these cases, the assistant replies with a conversational answer and does not make any changes to the schedule.
For example, if you ask Who is available this week?, the assistant may return a breakdown organized by physicians and support staff. The response can show who is already scheduled, including their shift times, and who has no shifts assigned for the remaining days.
Informational replies are meant to help you understand schedule coverage before making decisions. They do not change anything in the schedule.
Review Proposed Schedule Changes
When you ask the assistant to take action, such as resolving conflicts, it may suggest specific edits for you to review. For example, if you ask the assistant to find scheduling conflicts, it may return:
- A plain-language summary of the issues
- A list of conflicts, such as double-booked rooms, physician overlaps, or support staff overlaps
- A proposed-changes card with recommended actions
A proposed change may look like:

The assistant does not apply changes automatically. You must review and approve the proposed changes first.
Accept or Dismiss Proposed Changes
You stay in control of any changes the assistant suggests.
Before applying changes, you can click an individual change to exclude it. The card notes Click a change to exclude it, so you can remove any edits you do not want to apply.
When you are ready:
- Click Accept to apply the remaining proposed changes to the schedule.
- Click Dismiss to discard the full suggestion without changing anything.
Because the assistant only modifies the schedule when you click Accept, you should review each proposal carefully before approving it.
For larger issues, the assistant may handle conflicts in batches. For example, if there are many conflicts, it may resolve some first and offer to continue resolving the rest date by date. This lets you work through changes incrementally and re-check the calendar after each accepted batch.
Clear the Conversation
Use Clear history in the panel header to start a fresh conversation.
The panel header also includes a chevron that lets you collapse or expand the assistant panel.
Use the Assistant with Manual Conflict Resolution
The AI Assistant works alongside the Scheduler’s built-in error panel and manual editing tools. When a generated schedule has problems, an error count appears above the calendar. For example:

Click the error count to open a list of issue cards. Each card describes a specific problem, such as:
Double Booked Room — Oak Room double-booked: Dr. Bailey & Dr. Bailey (13:45–14:00)
Each issue card includes a Resolve… link. Click Resolve… to view manual options for fixing that conflict, such as:
- Remove this shift
- Move to room…
If you choose Move to room…, select a room and click Move. Use Cancel to close the resolution options without making a change.
Individual shifts with conflicts are also flagged on the calendar with a coloured badge showing the number of issues. Click the shift to open the Edit Shift dialog, where you can adjust the assignment manually.
You can use the AI Assistant to suggest and apply batches of fixes, or you can resolve conflicts one at a time through the error panel and shift editor.
