Locking a Template

Locking a Template

Templates can be “locked” to ensure consistency and prevent unauthorized changes. This feature allows organizations to maintain standard workflows while still giving flexibility where needed.

What is a Locked Template?

A locked template is an uneditable template. When a template is locked:

  • Users can still view and use the template as designed
  • Fields, wording, and structure are not editable
  • It ensures consistency across all users and locations

Locked templates are commonly used for:

  • Organization-wide communication standards
  • Compliance or regulatory messages
  • Any template that must remain consistent

Who Can Lock or Unlock Templates?

System Admins:

  • Can lock or unlock any template
  • This ensures that Admins maintain control over which templates can be edited and which must remain standardized

Managers and Users:

  • Can use locked templates but cannot make changes to them
  • If edits are required, they must request an Admin to unlock the template
