Locking a Template
Templates can be “locked” to ensure consistency and prevent unauthorized changes. This feature allows organizations to maintain standard workflows while still giving flexibility where needed.
What is a Locked Template?
A locked template is an uneditable template. When a template is locked:
- Users can still view and use the template as designed
- Fields, wording, and structure are not editable
- It ensures consistency across all users and locations
Locked templates are commonly used for:
- Organization-wide communication standards
- Compliance or regulatory messages
- Any template that must remain consistent
Who Can Lock or Unlock Templates?
System Admins:
- Can lock or unlock any template
- This ensures that Admins maintain control over which templates can be edited and which must remain standardized
Managers and Users:
- Can use locked templates but cannot make changes to them
- If edits are required, they must request an Admin to unlock the template
How To Lock A Template
Locking a Template
- Admins select the desired template in Saved Templates
- Note that the template must still be in Draft visibility
- Click the ⠇ and select Lock Template option
- The 🔒icon will appear
- Once locked, the template becomes read-only for all users
Unlocking a Template
- Coming soon. Please reach out to support@cliniconex.com if you require a template to be unlocked.
- If you need to make changes, you can make a copy of a form, make the necessary changes, then lock and publish the new template.
